Writing the Job Specification
Having the right job description is we feel, vital to us sourcing the right person for your vacancy.
You may be completely confident in the process of putting a formal job description together, if so, please bypass this section. We do, however have clients asking for our guidance on job descriptions and what information is crucial to sourcing the right candidate.
In our experience the job description should not only cover the obvious points such as experience and skill set but should also include a comprehensive person specification to ensure the Candidates introduced, fit your company culture. This can be the difference from someone staying with you long term and proving to be a definite asset to your organisation, to someone staying 6 short months. We feel that by including the following points in your job description, you and we will have an effective tool to work with to assist you in the recruitment process:

Company information and history:
A general overview on your organisation, including the size, history and introduction to your industry sector.
Department or team information:
How large is the department or team that the vacancy is within? Who will this person report to and what is their position? Is there a certain culture or fit that would be relevant to mention?
Job title:
This is an obvious but underestimated area of the job description. Think carefully about the title that you give a role. One person's idea of a PA role, can be very different to someone else's. We would be delighted to advise you in this area.
Outline of the role and daily responsibilities:
Again this needs careful thought. A job description is a sales tool for potential Candidates. The job description of course needs to be honest and factual, but also needs to be appealing for Candidates to be interested. Why has the role become available? Will there be training involved? Is the role demanding and if so, why? Too little information can be frustrating. Also make this information user friendly, this person has not worked within your Company before and may not understand some of your terminology, so we advise to keep it simple.
Essential requirements for the position:
What skills are absolutely essential and it is important to stick to the facts. Do you really need advanced Powerpoint or would intermediate suffice? Is 70 wpm typing essential or would 60 wpm be fast enough. These are the things to think about. This area can restrict the number of Candidates introduced if the job description is too specific.
Desirable requirements which may make a significant difference?
We may see a Candidate who has an extra quality or skill set which might be exactly right for your role. There should be 1, possibly 2 points in this section, that can make a difference in your selection process.
Career progression within the Company:
How will this role develop? What scope is there for this person to progress in the medium to long term? Strong Candidates will look to see where they can develop.
Personal qualities required:
What kind of person would be right for your Company and more specifically for the team or department? We have found that this is crucial in the recruitment process. Skills and experience are of course important, however having the right addition to your team in terms of personal fit can be equally, or on occasions more important.
The package - salary, hours, holidays and benefits:
This needs to be clearly outlined on the job description. Candidates like to have as much factual information as possible, especially in this area.
